How to use a price limit?

Price limit is useful when a maximum total price has been agreed for an assignment and you wish the system to provide an alert of it or prevent adding new transactions.

You can also define for an assignment a price alert limit. The price limit and the price alert limit are not dependent on each other but can be used also individually.

Take the price limit in use as follows:

1 – Define how the system reacts on exceeding the price limit

Go to the “Warning for exceeding price limit parameter” either in the Settings > Business Unit Settings > Business Unit Settings > business unit parameters or in the assignment’s parameters.

  • No Warning: adding transactions is still possible but the preliminary invoice cannot be approved without making a total adjustment.
  • Warning: when a user adds a transaction the system informs about exceeding the price limit but allows saving the transaction.
  • Error: when a user adds a transaction exceeding the price limit, the system gives an error message and prevents saving the transaction.

In all cases, approving a preliminary invoice and creating an invoice are prevented. To create an invoice above the price limit you have to remove or increase the limit.

2 – Define a price limit

Go to the Invoicing tab of an assignment and define the agreed price limit (e.g. 10 000€). Note that it applies only to net price of transactions but not to expenses. When defined, it also takes into account the assignment’s earlier open and invoiced transactions.

3 – Define a price alert limit

If you want to be aware of the status concerning the price limit, you can add a price alert limit (e.g. 9000€) for the assignment.

When the assignment’s total of billable transactions exceeds 9000€, the Responsible is able to see the assignment in the “My Assignments Exceeding Price Alert Limit” view.

4 – Add a reminder

It is possible to add a reminder to the view by selecting the Reminder button next to the field. Define the reminder text and the required number of assignments in the list to activate the reminder. The default number is one so the Responsible gets a reminder whenever any of his/her assignments has a price alert limit exceeded.

The user can forward the reminder with the Snooze or open the assignment view by selecting the reminder. Reminders keep coming until the price alert limit has been changed or removed from the assignment.  

NOTE! If the Responsible’s system is not running when the reminder gets overdue, the reminder is displayed when the user starts CSI Lawyer the next time.
